Takeda Business Solutions (TBS) is a function within Takeda with the objective of enabling Takeda’s business strategy, delivering simplification and cost reduction, improving services, and providing a transformation engine for continuous improvement for Takeda. ‘Building and Delivering Simplified and Innovative Solutions’ is our overarching vision with Patients at the center of all that we do.

OBJECTIVES:

The role supports the executing of sourcing, onboarding and offboarding of contracted suppliers to enable seamless transactional operations in requisitioning, ordering, and invoicing. The role is focused on all activities required to execute sourcing, with the appropriate tools, onboard suppliers from the moment contracts are signed to the point where Takeda business users can start to order goods and services.

This includes facilitation of vendor data management (i.e., creation of new vendors), connecting on buying platforms, applications, catalogues and defining operational ways of working to engage with business users. When supplier contracts are terminated, this role ensures appropriate securing of in-formation, disable access to Takeda platforms, applications or catalogues and de-activation of suppliers in transactional buying systems. The role relies on support from Process & Systems and Support Solutions for technical / system-related matters. The primary scope is expected to be the APAC region and Japan GMS (Global Manufacturing and Supply) related categories.

Key objectives include:

· Engage with sourcing execution and enablement teams, R2O operations and Content, Catalogue and Contract management to plan supplier enablement activities.

· Ensure appropriate supplier due diligence checks are performed at the supplier enablement stage as part of the pre-qualification process.

· SPOC for (new) suppliers in the operational and technical onboarding process.

· Oversee and manage progress of supplier onboarding /off-boarding process within agreed timelines.

· Lead and coordinate tasks with other TBS procurement solutions teams to ensure efficiency and quality of services.

· Ensure security and confidentiality for Takeda when supplier relations and contracts are terminated.

· Address / raise issues related to non-compliance to procurement and supplier management guidelines

ACCOUNTABILITIES:

Key accountabilities include, but are not limited to:

1. Sourcing & Supplier Enablement

a) Closely support and collaborate with the strategic sourcing managers to execute the end-to-end sourcing activities on demand.

b) Ensure the enablement of invited suppliers for online RFx events participation and eventual award.

c) Administer and host online RFx events (sourcing, auctions, etc) for identified sourcing projects.

d) Ensuring the prepared price/proposal recommendations to the strategic sourcing managers are in order and within the stipulated SLAs.

e) Lead cross-functional teams across different international Takeda entities to deliver global TBS initiatives.

2. Procure-to-Pay (P2P)

a) Provide guidance to GREFP & Business users on the appropriate buying channels to setup.

b) Lead cross-functional teams across different international Takeda entities to optimize & harmonize current end to end Procure-to-Pay processes.

c) Establishing and monitoring KPI and operational metrics performance on performance dashboards.

d) Change management and guidance to internal business stakeholders on P2P process changes.

3. Supplier Management

a) Ensure governance and roadmap development for different Takeda regions. b) Ensure appropriate supplier due diligence checks are performed and verified to minimize risk in the setup of new vendors to Takeda.

c) Lead and coordinate onboarding tasks performed via/by other TBS Procurement Solutions teams from different regions to maintain overview and control.

d) Conduct periodic review on the accuracy of supplier information as part of the suppliers offboarding / deactivation.

e) Ensure supplier offboarding is complete with supplier – business user system access disabled from further transaction.

f) Track, monitor and report KPIs related to supplier enablement process.

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:

4.Experience

a) Familiarity with sourcing and procurement procedures with at least 3 years of experience in procurement sourcing.

b) Prior international experience in the conduct of online tenders and auctions. c) Experience in process optimization & continuous improvements is a plus.

5. Education / Qualifications

a) Bachelor’s degree in engineering or finance/business or supply chain.

b) Procurement related certification (such as CIPS, CPSM, APICS) is a plus.

c) Experience in working within an international/global remit across different cultures.

6. System / Software Competencies

a) Prior operating experience with procurement platforms (SAP Ariba, SAP Ariba SCC modules and Coupa) is a plus.

b) Advance proficiency in using Microsoft Office software (PowerBI, Excel, etc). c) Proficiencies in Robotic Process Automation (UiPath) and Power Automate is a plus.

7. Language Competencies

a) Strong interpersonal (written and oral) communication skills in English.

b) Business level fluency in Japanese (written and oral).

c) Language competencies in another Asian/European language is a plus.

8. Behavioural Competencies/Skills

a) Strong data analytical skills and has proven quantitative abilities (e.g. cost modelling, price analysis).

b) Excellent project and time-management, organizational and collaboration skills.

c) Possesses keen eye for details with entrepreneurial mindset and spirit to create and innovate.

d) Provides firm guiding hands to the junior TBS Sourcing Specialists on category competency development.

e) Comprehensive understanding of all roles in TBS Procurement Solutions and interdependencies for delivery of global TBS initiatives.

f) In-depth knowledge on local market requirement and legislations for processes and systems limitations.

g) Solid knowledge of the buying channels available in the market and system requirements from a supplier’s perspectives.
