Description

Responsibilities:

  • Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements.

  • Coordinate and organize meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.

  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence, with professionalism and confidentiality.

  • Prepare and edit documents, presentations, reports, and other materials as needed.

  • Conduct research, compile data, and create reports or presentations for executive review.

  • Assist with project management tasks, such as tracking deadlines, managing budgets, and coordinating with team members.

  • Maintain accurate records and files, both electronic and physical, ensuring data integrity and confidentiality.

  • Anticipate the needs of the executive team and proactively address issues or challenges as they arise.

  • Collaborate with other administrative staff and departments to facilitate smooth operations and communication.

  • Uphold company policies and standards while representing the executive office professionally.

    Requirements

Requirements:

  • Proven experience as an Executive Assistant or similar role, supporting C-level executives or senior management.

  • Exceptional organizational and time management skills, with the ability to prioritize tasks and handle multiple responsibilities simultaneously.

  • Strong communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.

  • Proficiency in office productivity tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.

  • Attention to detail and accuracy in managing information, documents, and schedules.

  • Discretion and confidentiality in handling sensitive information and communications.

  • Ability to work independently with minimal supervision and make decisions in a fast-paced environment.

  • Flexibility and adaptability to changing priorities and deadlines.

  • Bachelor's degree in Business Administration, Communications, or a related field is preferred.

  • Experience in project management, event coordination, or office administration is a plus.
