Job purpose

This role supports a variety of administrative and organizational activities with the objective of ensuring efficient fulfilment of the manufacturing site’s needs on a consistent basis, including those of the management team. Typical work will vary from day-to-day depending on business needs with duties including, but not limited to, administrative, clerical, and organizational activities. A strong performer in the role displays an organized and proactive approach towards engaging and effectively communicating with stakeholders to fulfil duties in a timely manner.

Principle accountabilities

Manufacturing Support

Coordinate with vendors regarding incoming\outgoing deliveries

Support production requests for scheduling equipment and instrumentation calibrations

Organize site visits submitting appropriate forms and coordinating visitor access thru security

Manage memberships, subscriptions, and permits (documentation and renewal schedules) for site

Engage with landscapers, vending, pest control, and facilities, etc to maintain site presentation

Liaise with corporate marketing and vendors to support site printing and promotional activities

Plan meetings and reserve conference rooms as requested to support site management team

Assist with ad-hoc scheduling, activities and site support needs as requested

General

Perform general office duties including maintaining inventory and resupply of supplies

Support compilation and distribution of monthly and intermittent site reporting

Assist with intermittent travel arrangements and expense report compilation as needed (rare)

Assemble presentation content (via PowerPoint or other) for management team as requested

Act as primary local contact for coordinating general activities and rollouts amongst sites

Other

Update and maintaining plant monitor displays with new and refreshed content as required

Maintain electronic and paper filing systems

Fulfil confidentiality of materials and information

Produce high caliber outputs while consistently meeting deadlines and surpasses expectations

Work independently and within team(s) on special projects

Requirements for the role:

High school diploma or equivalent with a minimum of 5 years of experience in similar or related field. An equivalent combination of education and experience may be considered.

Experience supporting large organization in corporate environment with competing priorities

Ability to quickly develop proficiency with new software and systems

Experience working with and maintaining sensitive and confidential information

Must be proficient with Microsoft Office Products (Excel, PowerPoint, Outlook, and Word). Visio experience a plus.
